The Pendragon Project terms and conditions for cancellation of an activity, including the rescheduling of activities and any incurred fees, is detailed below.

The Pendragon Project reserves the right to be flexible in determining the exact structure of timings, cancellation notices, incurred fees and refund eligibility depending on each booking and the upfront costs accrued by the Pendragon Project to deliver it. These terms must be communicated clearly to the client before they have confirmed booking and made any payment for services.

Cancellations by the client

1. Bookings are not refundable in the event of cancellation by a customer.

2. If you cancel 8 weeks or more in advance of the activity date, we will offer you the option to select an alternative available date for your booking at no extra cost.

3. If you cancel 4 weeks in advance of the activity date, we will offer you the option to select an alternative available date for your booking with an incurred fee of 50% of the total booking cost.

4. If you cancel less than 4 weeks in advance of the activity date, you will lose the payment for the booking.

5. In the event of a cancellation, the alternative available date options will be limited to within 3 months of the original booking date. We cannot guarantee that an equivalent day and time slot of your original booking will be available.

 Cancellations by the Pendragon Project

1. We will notify a client as soon as practicable where we determine that there is reasonable justification for cancelling an activity due to dangerous and/or unsuitable conditions. These conditions include, but are not limited to, severe weather events.

2. In this event, we will offer compensation of either an alternative available date for your booking or a refund of 50%.

3. In the event of a cancellation, the alternative available date options will be limited to within 3 months of the original booking date. We cannot guarantee that an equivalent day and time slot of your original booking will be available.

4. In the event of a cancellation by the Pendragon Project for any reason other than dangerous and/or unsuitable conditions, a full refund for your booking will be provided

5. The Pendragon Project reserves the right to cancel an activity or remove individuals from taking part if they wilfully put themselves, their party or the general public at risk, through consumption of alcohol or drugs, or inappropriate conduct. In this event, refunds will not be issued.

Notification of cancellation

1. You must cancel a booked activity in writing at enquiries@pendragonproject.org. The date of receipt of this email will constitute the cancellation date.

Amendments to a booked activity by the client

1. You must communicate any proposed amendments to a a booked activity in writing at enquiries@pendragonproject.org.

2. The Pendragon Project reserves the right to charge additional payments to accommodate any proposed amendments. Clients will be provided with the full terms of these before making any payments. Your decision to proceed with any additional payments constitutes explicit acknowledgement and agreement with the terms.

3. Bookings are not fully or partially refundable, in the event of amendments to the booked activity by the client, after the initial payment for services to confirm the booking
